Orderflow for custom jewelry

Keep bench work attached to the order they paid for.

A custom ring or stamped necklace is a Shopify order and a studio job at the same time. Names, sizes, stone notes, proofs, and a promised date have to stay on one record.

The size and the spelling have to be right.

The problem after checkout

Jewelry orders fail on small facts.

The customer paid for a stamped bar necklace. The chain length is in a cart note. The spelling is in a later email. The promised date is in your head. The bench cannot see all three.

  • Ring size arrived after the wax was already poured
  • A stone preference lives in a DM
  • They want to see the layout before you stamp
  • An anniversary date is the real Ship by, not created-at

Shopify recorded the jewelry sale. Orderflow is for the details, approval, and bench stages that sale still needs.

From paid order to a piece that can leave the studio

Casting, stamping, and stone-setting shops will name stages differently. The discipline is the same: do not start irreversible work on incomplete facts.

  1. 1

    Order received

The Shopify order is on the queue with whatever checkout captured.

  2. 2

    Confirm details

Size, spelling, metal, and stone notes get completed on the order — including a request if something is missing.

  3. 3

    Layout or wax proof

When they need to see it, Proof Review holds that approval.

  4. 4

    Bench / production

Internal Note can hold bench instructions the customer should not receive in an email.

  5. 5

    QC and ready to ship

A status your studio uses, plus a Ship by date that still means something.

  6. 6

    Fulfilled

Shopify fulfillment and tracking stay in Shopify. The custom story stays in Orderflow.

Studio facts and customer facts, on one piece

Jewelry work mixes intimate customer details with shop-only notes. Orderflow keeps both on the order and does not treat them as the same field.

Personalization that arrived late

Request Information and Collect Info are for the size, spelling, or photo that checkout did not get.

Approval before irreversible work

Proof Review is the pause before you stamp, set, or cast from a maybe.

Bench notes stay internal

Internal Note is for the bench. Customer Message and templates are for the updates they should receive.

Dates that match occasions

Ship by belongs on the queue for anniversaries and holidays — not only in a calendar app.

A lookup page while it is still being made

They can see progress before a tracking number exists, which is most of a custom jewelry timeline.

Ready for the next custom order?

Confirm the details. Then make the piece.

Orderflow is not CAD software and it does not replace a jeweler. It keeps the Shopify order accurate while the studio does the work.

Questions shops actually ask

Does Orderflow design jewelry?

No. CAD, casting, and the bench stay in the studio. Orderflow tracks the Shopify order’s details, proofs, and stages around that work.

Where should ring size live if it was missing at checkout?

On the order, via Request Information or Collect Info — not in a new email that the next bench shift will not see.

Can customers see bench notes?

Internal Note is for the shop. Customer Message and status emails are the customer-facing side. Keep process notes internal.
