Orderflow for laser engraving

A better workflow for custom engraving orders.

An engraved tumbler or cutting board is paid in Shopify long before it is safe to run. You still need the name, the logo, a proof on that material, and a date it has to leave.

Do not engrave until they approve the layout.

The problem after checkout

You cannot un-engrave a tumbler.

The customer paid for a set of tumblers. The logo they meant is not the file in the cart. Or the name is spelled the way it appeared in autocomplete. Running the job now is how you eat the blank.

  • The SVG and the PNG do not match
  • Wood grain vs coated steel needs a different proof
  • A fixture note lives in a shop Slack the evening shift never reads
  • A wedding date is the real deadline, not the order created-at

Shopify recorded the engraving sale. Orderflow is for details, proof, and the production pass that sale still needs.

An engraving job, start to ship

Every shop’s machine and materials differ. The expensive mistake is the same: running before the layout is approved.

  1. 1

    Order received

The paid Shopify order is on the queue with whatever personalization checkout captured.

  2. 2

    Details and artwork

Collect the logo, the exact spelling, or a better file on that order.

  3. 3

    Layout proof

Send a mock on the actual product so they approve size and placement.

  4. 4

    Approved

Only then does the job belong in a ready-to-run status.

  5. 5

    Engraving / production

Internal Note can hold fixture, wattage, or pass-count notes the customer should never see.

  6. 6

    Ready to ship

Pack, fulfill in Shopify, and keep the history on the order if they ask what was approved.

What has to be true before you hit start

Laser work is unforgiving. Orderflow will not run the job for you. It makes the approval and the material notes hard to lose.

Logos and names on the order

Collect Info and Request Information pull missing artwork or spelling onto the same record as the tumbler they paid for.

Proof before the pass

Proof Review is the pause between layout and laser. Revisions stay versioned.

Material notes stay internal

Internal Note is for fixture, focus, and coating. Customer Message is for “your proof is ready.”

Stages you actually use

Waiting on artwork, proof sent, ready to engrave, and packed are your names — not a built-in laser pipeline.

Event dates on the queue

Weddings and corporate kits have a Ship by date that should outrank whichever order arrived last.

The expensive way

  1. 1Engrave from the first file they sent
  2. 2Discover the spelling error after the pass
  3. 3Fixture notes live in someone’s head
  4. 4The wedding date is in the original Etsy or Shopify note
  5. 5Nobody can show what was approved

The Orderflow way

  1. Step 1. The current logo and names sit on the order
  2. Step 2. Proof approval happens before the laser
  3. Step 3. Internal Note holds the machine setup
  4. Step 4. Ship by is on the queue
  5. Step 5. Activity keeps the approval trail

Ready to stop re-running blanks?

Approve the layout. Then engrave.

Orderflow does not control a laser. It keeps the Shopify order honest about whether the job is actually ready to run.

Questions shops actually ask

Does Orderflow connect to my laser?

No. The machine, LightBurn or other software, and fixtures stay in the shop. Orderflow is the order workflow around those tools.

Can I store material or fixture notes?

Yes. Internal Note is for the shop. It stays off customer-facing messages so a wattage note does not go out in a status email.

What if checkout already captured the name?

Keep it. Orderflow is for the rest: a better logo, a proof on that product, and a status that means “safe to engrave.”
