The ornament is paid. The photo still has to arrive.

The problem after checkout

The sale is done. The gift is not.

A customer orders a personalized ornament. They have paid. Shopify shows a new order. Your team still cannot start making it.

  • The photo is on their phone, not in the checkout form
  • The name on the line item does not match the note in the order
  • Someone still has to set type, crop the photo, and send a proof
  • They will ask where it is before a tracking number exists

Shopify recorded the purchase. The rest of the job — collecting the photo, preparing artwork, waiting on approval, making the piece, and shipping it — needs a workflow.

A personalized gift has a job after checkout

This is a typical path for a custom photo ornament. Your status names can be different. The stages are usually the same.

  1. 1

    Order received

Shopify has the paid order. Orderflow puts it on the working queue.

  2. 2

    Collect customer info

Ask for the photo, the exact name, or the date from order lookup — not a loose email.

  3. 3

    Prepare and send proof

Attach the layout to the order and send Proof Review so they can approve or request a change.

  4. 4

    Customer approves

The approval stays on that order. A revision starts a new proof version instead of a new thread.

  5. 5

    Production

Move the order into the production status your shop actually uses.

  6. 6

    Ready to ship

When the piece is packed, the Ship by date and fulfillment state are already on the row.

  7. 7

    Fulfilled

Shopify still handles fulfillment. Orderflow is how you got the order ready to fulfill.

Waiting on photo

What Orderflow keeps on the gift order

Personalized work fails when the photo lives in one inbox and the due date lives in someone’s head. Orderflow keeps the next step on the same order Shopify already created.

Photos and details on the order

Collect Info lets customers add photos from your lookup page. Request Information emails them a link when something is required before you can make the piece.

Proof Review with versions

Send a proof, keep revisions, and see whether they approved or asked for a change — without hunting through email attachments.

Statuses you name

Waiting on photo, proof sent, in production, and ready to ship are examples — not fixed Orderflow stages. You create the sequence your gift shop actually runs.

Ship by on the queue

Holiday and event gifts have a real date. The working queue can show what is due today instead of only what arrived last.

A page customers can check

Order lookup on your store lets them see progress and add files before a tracking number exists.

Without a post-checkout workflow

  1. 1Paid order arrives and looks finished in Shopify
  2. 2Staff search email for the photo
  3. 3The name on the proof does not match the cart note
  4. 4Customer asks for an update and nobody knows the stage
  5. 5Holiday Ship by dates live in a spreadsheet

With Orderflow

  1. Step 1. The order sits on a queue with a status you chose
  2. Step 2. The photo request and the file stay on that order
  3. Step 3. Proof versions and approval stay with the piece
  4. Step 4. The customer can check progress on your store
  5. Step 5. Ship by is visible before anyone asks

Ready for personalized season?

Spend less time chasing photos. Spend more time making gifts.

Orderflow does not replace Shopify checkout. It organizes the work a personalized order still needs after it is paid.

Questions shops actually ask

Does Orderflow collect personalization at checkout?

Checkout still belongs to Shopify. Orderflow is for the work after the order exists: missing photos, proofs, production stages, and updates. If a field was skipped at checkout, Collect Info or Request Information can gather it on the order.

Can customers upload a photo after they pay?

Yes. Collect Info lets them add photos from your storefront lookup page. Use Request Information when you need to email them a link and require a reply before production.

Are the statuses on this page built into Orderflow?

No. Waiting on photo, proof sent, and in production are examples. You create statuses, colors, and sequence for the way your gift shop actually works.
