Orderflow for photo products

Stop chasing customers for their photos.

They bought the blanket, the canvas, or the memorial frame. The photo is still on their phone. Orderflow is how you request it, keep it on the order, proof it, and only then start production.

Paid. Still waiting on a usable photo.

The problem after checkout

They paid. They did not send a usable photo.

This is the photo-product loop: the customer buys, the photo is not in the order, you ask for it, they email a thumbnail, you ask again, they send a new one, and nobody is sure which file to print.

  • Checkout was the wrong moment — the file is on a different device
  • Gift buyers do not have the photo yet
  • Email subjects say “photo” with no order number
  • A Drive link expires after you already cropped the wrong image

Shopify took payment for the product. Orderflow is for getting a real photo onto that order, proving it, and starting production.

The photo-product loop, made explicit

If this sequence is your week, the software should follow it — not pretend the cart already had the file.

  1. 1

    Customer buys the product

Shopify has a paid, unfulfilled photo-product order.

  2. 2

    Photo is missing or unusable

The line item cannot be produced from a checkout thumbnail or a promise to “email later.”

  3. 3

    You request the photo

Request Information emails a link, or Collect Info lets them add files when they look the order up.

  4. 4

    They upload it

The file lands on that order as a thumbnail and filename — not in a shared inbox.

  5. 5

    You create a proof

Show crop, layout, and text on the product before you print or finish.

  6. 6

    They approve

Only then does the order belong in production.

  7. 7

    You make and ship it

Fulfillment stays in Shopify. The photo story stays on the order.

Waiting on photo

Built around the missing photo

This is one of the clearest Orderflow jobs: the product is defined, the image is not, and email is a bad place to store it.

Collect Info on lookup

Customers add photos from your storefront lookup page. They can crop an image. PDFs stay files. No email is required for that optional path.

Request Information when it is required

If you cannot continue without a photo or a written reply, email them a link and keep the answer on the order.

Proof the layout, not just the file

Proof Review is how you show crop and text on the blanket or canvas before you commit material.

A waiting-on-photo status you create

The queue should show which orders cannot start. That name is yours.

They can check the order

Lookup is where they upload and later see that the proof is waiting — before anyone has a tracking number.

Chasing photos

  1. 1“Please email the photo” with no order number
  2. 2Three attachments, two of them unusable
  3. 3Staff download to a folder named after the first name
  4. 4The proof uses the wrong crop
  5. 5They ask for status while you still do not have a file

Collecting them on the order

  1. Step 1. The request is tied to that Shopify order
  2. Step 2. The upload lands on the order record
  3. Step 3. Proof Review shows the crop you will produce
  4. Step 4. Status says waiting on photo or approved
  5. Step 5. Lookup is how they participate without a ticket

Ready to stop matching inboxes?

Get the photo onto the order. Then make the piece.

Orderflow will not print blankets. It is the workflow for shops whose real bottleneck is a customer photo that never arrived in a usable form.

Questions shops actually ask

Can customers upload after checkout?

Yes. Collect Info is the optional upload on your lookup page. Request Information is the emailed, required path when you cannot continue without the file.

Do you store the photo in Shopify Admin?

The purchase stays in Shopify. Customer uploads and proofs are kept on the Orderflow order workspace so staff are not downloading from email.

What if they send a new photo later?

Keep it on the same order. A new proof version is how you show which image you will produce, instead of guessing which attachment is current.
